What to Look for When Choosing a Hotel Operations Platform

A hotel operations platform touches everything from the guest's phone to the kitchen screen. The questions to ask, the points to check and the red flags to watch for before you decide.

A hotel operations platform touches everything: the guest's phone, the kitchen screen, the department manager's report and the general manager's desk. The wrong choice is not just a software cost. It means an app guests never use, a kitchen where staff keep notes in a second system and reports nobody trusts.

This article offers a practical checklist for evaluating a platform. The goal is not to pick the one with the most features, but to find the one that fits how your hotel actually works and can grow with you over time.

1. The Guest Side: A System Nobody Uses Is Worthless#

A platform's value depends on guests actually using it. So start your evaluation from the guest's point of view.

Does it require an app download?#

Most guests do not want to download a new app, create an account and set a password for a stay of a few nights. A web portal opened with a QR code removes that barrier: the guest scans the code and goes straight to the menu or the service.

Which languages does it support?#

Look at your guest profile. Showing the menu, product descriptions and notifications in the guest's own language reduces ordering mistakes and makes the experience more comfortable. Ask whether only the interface is translated, or the menu content as well.

How are guests verified?#

For room orders or reservations, you need to be sure the request really comes from the guest staying in that room. Check that verification is simple and that guests are not asked for more personal data than necessary.

Does it fit your concept?#

Every hotel works differently. In an all-inclusive hotel, the system should let you define which items are free, which are paid and which rules apply at which times. Showing allergen and calorie information is also increasingly expected.

2. The Operations Side: Does the Order Reach the Right Team?#

However good the guest side is, the experience breaks down if the order gets lost behind the scenes.

  • Routing to departments: Do the drinks in an order go to the bar and the food to the kitchen or room service automatically?
  • Location info: Can staff see which room, table or sunbed an order came from?
  • Staff screens: Does each team see only the orders for its own location? Getting lost among other outlets' orders on a busy screen is a source of mistakes.
  • Order states: Are stages like "waiting", "preparing" and "done" clear? Can the guest follow the status on their own phone?
  • Roles and permissions: Can you set different access levels for the general manager, department managers and staff?

3. Data and Reporting#

One of the biggest advantages of a digital system is that every transaction is recorded. But data alone does not create value; it has to be made understandable.

When evaluating, check:

  • Are reports on revenue, products, cancellations and locations available out of the box?
  • Do reports reach managers regularly (daily, weekly, monthly) in the admin panel and by email?
  • Can you export data to Excel or CSV?
  • Are there decision-support tools, such as menu profitability, demand forecasts or analyses that flag unexpected drops?

4. Integrations#

Your hotel already runs a PMS (property management system). The new platform needs to talk to it for guest verification, room information and stay data. Ask the vendor concretely which PMS systems they work with and what the integration covers.

5. Privacy and Data Handling#

A guest platform processes personal data. So make these points clear:

  • What information is requested from guests, and is it really necessary?
  • Where is the data stored, and who can access it?
  • What is the vendor's approach to complying with regulations such as KVKK in Turkey and the GDPR for guests from Europe?

6. Setup and Support Model#

Who does the setup? Is entering the menu, preparing the QR codes and creating staff access left to your team, or does the vendor take it on? Also find out up front whom you contact, and how, if something goes wrong mid-season. Rather than accepting fixed time promises, asking how the process works step by step gives you a more realistic picture.

7. Modular Growth#

Today you may want to start with QR ordering and restaurant reservations only. Tomorrow you may want to move other services online too. The ideal platform lets you add new services to the same guest portal and the same admin panel. A separate app or a separate supplier for every new need creates confusion for guests and staff alike.

Questions to Ask Vendors#

Prepare these questions before the meeting:

  1. Can guests reach every service without downloading an app?
  2. Can you show live how an order travels from the guest's phone to the staff screen?
  3. Which features are in use today, and which are still in development?
  4. Which data does the PMS integration cover?
  5. Which setup tasks do you handle, and which are left to us?
  6. Who receives reports, and how often?

Red Flags#

  • A presentation instead of a demo: Be careful if you cannot see the product working live.
  • "Everything is ready": A vendor who presents features still in development as finished can leave you in a tough spot mid-season.
  • Numbers without a source: Be cautious with guarantees and percentages that have no concrete basis.
  • A vague data policy: If you cannot get a clear answer on where and how data is stored, treat that as a risk.

How Sunflow Approaches This#

With Sunflow, guests scan a single QR code and open a web portal in 5 languages without downloading an app. Orders reach the right department instantly, along with the room or location they came from; à la carte reservations, reviews, campaigns and reports are all managed from one admin panel. PMS integration is available, and setup is done by the Sunflow team.

Some modules are still in development, and we mark them clearly as "coming soon" on our site. You can find the details of what is ready today on our hotel guest app page.
